Refund Policy

1. Our Commitment

At Learnexira Center, we are dedicated to delivering exceptional educational experiences that create lasting professional value. We understand that circumstances may arise that require cancellation or withdrawal from a program, and we have established this Refund Policy to provide clear, fair, and transparent guidelines for all participants and corporate clients.

This Refund Policy applies to all programs, services, and training offerings provided by Learnexira Center, located at 2003 Corporate Dr, Richmond, KY 40475. By enrolling in any of our programs, you acknowledge that you have read, understood, and agree to the terms of this Refund Policy.

We encourage all prospective participants to carefully review program details, schedules, and requirements before enrolling to ensure the program is the right fit for their professional development goals.

2. Individual Program Refund Schedule

Refund eligibility for individual program enrollments is determined by the timing of the cancellation request relative to the program start date. The following schedule outlines our standard refund terms:

All cancellation requests must be submitted in writing via email to education@learnexiracenter.com. The date the written request is received will be used to determine the applicable refund amount. Verbal cancellation requests are not sufficient to initiate the refund process.

3. Corporate Program Refund Terms

Corporate program cancellations and refunds are governed by the specific terms outlined in the corporate services agreement between Learnexira Center and the client organization. In the absence of specific contractual terms, the following general provisions apply:

3.1 Program Cancellation by Corporate Client

If a corporate client cancels an entire program engagement, the refund will be calculated based on the amount of work already completed, materials already developed, and resources already allocated. Programs cancelled more than 45 days before the scheduled start date are eligible for a full refund minus any costs already incurred for custom program design and material development.

3.2 Participant Substitution

Corporate clients may substitute individual participants at no additional charge up to seven (7) days before the program start date, provided the substitute participant meets any applicable prerequisites or qualification requirements. Substitutions requested fewer than seven days before the start date will be considered on a case-by-case basis.

3.3 Partial Cancellation

If a corporate client reduces the number of enrolled participants after confirmation, the per-participant rate may be adjusted based on the revised group size. Refunds for partially cancelled enrollments will be determined based on the adjusted pricing structure and any minimum participant thresholds specified in the agreement.

4. Program Transfers and Deferrals

We understand that scheduling conflicts may arise, and we offer the following transfer and deferral options as alternatives to cancellation:

4.1 Program Transfer

Participants may request a one-time transfer to a different session of the same program at no additional charge, subject to availability. Transfer requests must be submitted at least fourteen (14) days before the original program start date. Transfers to a different program type may be subject to price adjustments.

4.2 Deferral

Participants may defer their enrollment to a future session of the same program, subject to availability. Deferral requests must be submitted at least seven (7) days before the program start date. Deferred enrollments must be used within twelve (12) months of the original program date. After twelve months, the deferral will expire and no refund will be issued.

4.3 Credit Toward Future Programs

In certain circumstances where a refund is not applicable, we may offer credit toward a future Learnexira Center program. Program credits are non-transferable and must be used within twelve (12) months of issuance. Credits cannot be redeemed for cash or applied to programs offered by other organizations.

5. Cancellation by Learnexira Center

Learnexira Center reserves the right to cancel, postpone, or reschedule programs due to insufficient enrollment, instructor unavailability, force majeure events, or other circumstances beyond our reasonable control.

In the event that Learnexira Center cancels a program, all enrolled participants will receive a full refund of all fees paid for the cancelled program, or the option to transfer their enrollment to an alternative program or future session at no additional cost. We will provide as much advance notice as possible and work with affected participants to find the best alternative solution.

Learnexira Center is not responsible for any incidental costs incurred by participants in connection with a cancelled program, including but not limited to travel expenses, accommodation costs, or lost wages.

6. Refund Processing

Approved refunds will be processed using the original payment method within ten to fifteen (10–15) business days of approval. The actual time for the refund to appear in your account may vary depending on your financial institution. Refunds for credit card payments will be credited to the same card used for the original transaction.

For wire transfer payments, refunds will be processed via wire transfer to the originating bank account. Please note that bank processing times and any applicable wire transfer fees are outside our control and may affect the timeline and net amount received.

All refund amounts are calculated in US Dollars. If the original payment was made in a different currency, the refund amount may differ from the original payment due to exchange rate fluctuations. Learnexira Center is not responsible for any exchange rate differences.

7. Non-Refundable Items

The following fees and charges are non-refundable under all circumstances:

• Application and assessment fees, regardless of enrollment outcome
• Custom program design and development fees for corporate engagements where work has commenced
• Materials and resources that have been shipped, downloaded, or accessed digitally
• Certification and examination fees once the assessment has been administered
• Late registration surcharges and expedited processing fees
• Any third-party costs incurred on behalf of the participant (e.g., venue rentals, specialized software licenses)

8. Participant Removal and Dismissal

Learnexira Center reserves the right to remove a participant from a program for violations of our Code of Conduct, disruptive behavior, harassment, academic dishonesty, or failure to meet participation requirements. Participants removed from a program for these reasons are not eligible for a refund.

In cases of removal, we will provide the participant with written documentation of the reasons for the decision. The participant may submit a written appeal within seven (7) days of the removal notice.

9. Extenuating Circumstances

We recognize that exceptional circumstances may arise that fall outside our standard refund schedule. In cases of documented medical emergencies, serious illness, bereavement, or other extraordinary circumstances, participants may submit a request for special consideration.

Requests for special consideration must be submitted in writing with supporting documentation. Learnexira Center will review each request on a case-by-case basis and respond within ten (10) business days. Approval of special consideration requests is at the sole discretion of Learnexira Center, and the decision is final.

10. Dispute Resolution

If you are dissatisfied with the outcome of a refund request, you may escalate the matter by submitting a written dispute to our management team. We are committed to resolving all disputes fairly and promptly. Disputes should be submitted within thirty (30) days of the initial refund decision.

Our management team will review the dispute, consider all relevant factors, and provide a final written response within fifteen (15) business days. If the dispute cannot be resolved through our internal process, it may be subject to the dispute resolution procedures outlined in our Terms of Service.

11. Changes to This Refund Policy

Learnexira Center reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. The updated policy will not retroactively affect enrollments confirmed under a previous version of this policy. We encourage you to review this policy regularly.
